Executive Assistant
⚲ Philippines-based | Full-time and Remote
We’re on the lookout for an Executive Assistant to help support the Director and Head of Advice. Your role will include managing calendars, scheduling meetings, handling emails, taking minutes, organising travel, and keeping things running smoothly. You'll also assist with special projects and any other tasks that pop up.
What you’ll do:
Executive Support to the Director and Head of Advice by –
Managing calendars;
Co-ordinate and schedule meetings;
Manage and respond as required to internal and external emails;
Serve as the primary point of contact for communications for the Director and Head of Advice, ensuring timely and efficient information flow with external stakeholders.
Take minutes for required internal and external meetings.
Plan and manage travel arrangements, including bookings, itineraries, and travel documentation.
Maintain organised and easily accessible records and files.
Assist with the co-ordination and administration of special projects.
Complete other ad-hoc tasks.
What you’ll bring to the table:
Previous experience in a Personal or Executive Assistant role.
Bachelor's degree in Business Administration, Finance, or a related field preferred.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and relevant software.
Excellent verbal and written communication skills in English; able to interact effectively with clients and stakeholders.
Strong attention to detail and accuracy in data entry and information gathering.
Demonstrated ability to prioritize tasks and manage multiple assignments in a fast-paced environment.
Customer-centric approach, committed to delivering exceptional service and building positive client relationships.
Effective collaboration with cross-functional teams, showing flexibility in a team environment.
Uphold professionalism, confidentiality, and ethical standards when handling sensitive information.
Demonstrated ability to handle confidential information.
Basic understanding of insurance products is a plus; willingness to learn about the industry is essential.
